You may wonder whether typing 1, 2, and 3 would be easier than using the ListNum field. Although doing that may be easier initially, the value of using the ListNum field becomes apparent when you cut and paste. When a paragraph contains multiple numbered items that you move or delete, Word automatically updates the ListNum fields.  Does anybody have an easy way to set up sequential numbering in Coreldraw? Our shop has to lay out unit number plaques for vinyl cutting and sometimes my employee has to manually type in hundreds of numbers. I've read all the print merge suggestions for raffle tickets and such but I need the numbers entered into an object and not during the print process. 
It's easy to enter a SEQ field manually. Begin by pressing [Ctrl]+[F9]. When Word displays the blank field, enter seq list1, as shown in Figure A. List1 is a required argument; you can use any descriptive name you like as long as it begins with an alpha character. The parentheses distinguish the numbers within the text. They're not part of the field code. Highlight the field code and press [F9] to display the field's value. As you can see in Figure B, the first field returns (1).

GREAT tip with lots of uses! Thank you. This will save me hours of work on some tickets I’m designing. However, I also need to set up table tents that have numbers on them. They’re 2-up, and are folded, so each number needs to appear twice on the same page. In short, I want a page with 1/1 and 2/2, and I’m getting 1/2 and 3/4. Am I missing an obvious fix? Thank you.

Hello Bruce, I seem to be having a different problem altogether. I created my ticket in word using logos and text boxes as needed, ticket looks great. I followed your very clear instructions but when I did the Finish & Merge I got this message, "You cannot include DATA, NEXT, NEXTIF, or SKIPIF fields in comments, headers, footers, footnotes or endnotes." I then click on OK and get this, "A field calculation error occurred in record 1. Bruce any help would be much appreciated. Thank you!!


I am trying to use mailmerge to print tickets. I tried using a column of sequential numbers on a spreadsheet and inserting that as a field into the mailmerge, but oddly, it used number 8 eight times on the first page, number 16 eight times on the second page, etc. So, I tried using a sequencing field as you describe. It worked great for the first page (numbers 1-8) but when I completed the mailmerge, it repeated numbers 1-8 on each successive sheet. What do I have to do to make this work in a mailmerge?

Note  If TAB and SHIFT+TAB do not work for changing the indents for outline numbering, you probably have the option Tabs and Backspace set left Indent turned off. To change this setting, from the Tools menu, choose Options. Select the Edit tab and check the option Tabs and backspace set left indent. As an alternative to turning this option on, you can instead use ALT+SHIFT+LEFT ARROW or RIGHT ARROW to increase or decrease outline numbering.
Yes, I’m a little confused by your brief too. The script that I describe here will create an array of numbers using any step value that it offers, including by 1 number each time. Whether you put the resulting list directly into InDesign as text, or indirectly using the Data Merge feature is up to you. Perhaps learn more about the Data Merge feature of InDesign itself – David Blatner has a great series on Lynda.com that will explain Data Merge much more than I can on this thread.
Hi, this is a great write up. I am very new to InDesign and i print onto a range of products and my first order with sequential numbering came up (serial numbers), I have the template made in illustrator and i also have the numbers added (00001 on all of the art work). A friend told me InDesign has a function for automatically incrasing the numbers by 1 for each art work. I have 105 pieces per template, is there a way to import the design and then sort the number (already text edible) and then save as a pdf then send to print?
Despite its difficulties and drawbacks Word's automatic numbering can be harnessed. The best method I have seen for doing that is with outline numbering as explained by MVP Shauna Kelly in: Outline numbering in Microsoft Word. This takes a good bit of work to get it set-up, but if you get it set up in a template it is well worth the effort and most of your automatic paragraph numbering issues will be resolved.
we have printed AP checks using the check number from 0000000001 to 0000000006, but we havent posted those batches. we have only one checbook. Now can we restart the check number from 000001. I have been generating 150-400 page reports with multiple lists in tables. Word's auto numbering would only go so far in applying sequential numbering but then it just stops and I could not use it any more. I had to manually type in the numbered list which was quite annoying and very time consuming. Then I came across your Word Tip. Awesome! It worked. Thanks so very much.

Yes it can be used for other documents. I use it as a basis to generate addressed letters to clients etc. Potentially you could use it with Access, but you’d have to set it up as a Mail-Merge document – but it would take a bit of fiddling around to get both mail-merge and the sequential numbering to work at the same time. it’s a matter of experimenting – I don’t have any other suggestions – it’s up to you to adapt it to your own needs. sequential numbering using word
